Major Responsibilities:
Check, monitor and prepare the document, working files related to the Dept. head/manager;
Support and provide assistance to Dept. head/manager as well as members of the team;
Manage the Head's/manager's schedule, determining priorities in terms of objectives and deadlines that must be met;
Evaluate which random demands require the involvement of the Head/manager and then to facilitate this;
Initiate the distribution of information to relevant managers/assistant managers/team members, facilitating the execution of tasks, thus improving overall operating efficiencies;
Operate, maintain and control an effective "follow-up" system, essential in terms of what is required in order to meet the various deadlines;
Full responsibility for organizing Team Meetings, preparation and distribution of the agenda, writing and circulating minutes, follow-up and filing;
Responsible for the enforcement of Company policy in terms of procedures including travel, expense claims, personnel changes and appointments, etc.;
Responsible for controlling signatures, taking policy into account, urgency and forwarding of documents as well as supporting team members to make order/payment in SAP system;
Hand external enquiries related to various issues.
Qualifications:
Bachelor degree or above;
Minimum of 2 years assistant experience in a multi-national company;
Excellent English skills both oral and written, German will be a strong plus;
Good computer skills with MS Office;
Good organization skills, strong sense of responsibility, timely response, fast learner;
Strong communication skill, team work, taking care the details, result orientated;
Positive and self-initiative.
